Education facilities are often large, complex organisations, which must be run efficiently and effectively. Administrators will often be needed to help with the general management of the school, assisting in roles such as admissions, finance or human resources. Often, senior roles in schools and colleges will need personal assistants to help them manage their workload. 

School administrators work in close collaboration with teaching and support staff, and may come into contact with pupils and parents, for example on reception duties, though no teaching or supervisory roles should be expected.

School administrator responsibilities may include:

  • Assisting with the workload of senior staff
  • Arranging and organising staff meetings, interviews or other events
  • Procuring goods and services for the school, and receiving and storing items
  • Speaking with organisations, staff, parents and members of the public on the phone
  • Keeping up-to-date, and often confidential records on children, staff and the running of the school

What qualities are expected of a school administrator?

  • Organised and efficient
  • Friendly and courteous
  • Flexible
  • Good reading, writing and numeracy skills
  • Working knowledge of office systems such as Microsoft Office
  • Ability to work with/around children

Qualifications and criteria needed

Although specific qualifications are not a requirement of becoming a school administrator, many schools will ask that candidates have qualifications such as GCSEs, A Levels or their equivalent, and good reading, writing and numeracy skills will be essential.

Candidates may who have some experience of working in a school environment may be preferred. Schools will also be expected to carry out a background check through the Disclosure and Barring Service (DBS).
